Week 8

Hi there bloggers. Since this would be the last week of my internship, so my blog post will end too. But, I will continue writing in my personal blog. Hehe. Below is the report regarding what I have been doing during the week.

Monday (20 December 2010)
Early in the morning, the office suddenly blackout. I heard that the technician said that it happened because of the wiring. For staffs that using a laptop, they can proceed with their work since their laptop has its own battery. But, for us (using a desktop PC), we had to wait for the lights to turn on. When my industrial training supervisor saw us sitting in front of the PC by doing nothing, then suddenly she said to Mrs. Liza, “I wish that I had a PC”. Haha. Wondering why she said that words? Since she had a laptop, she had to continue doing her work. LOL. Anyway, then the problem solved in an hour after the technician changed the old wire. Before the lights turn on, I have been assigned by Mrs. Christina to take documents from the Tax Department (Wisma Sime Darby, Level 13). There is a newspaper shop below the Wisma Sime Darby building. Since I had not took my breakfast yet, so I bought some currypuffs and also bread from the shop. Like what people always said, “Killing birds with one stone”. After I came back from Wisma Sime Darby, I had to do the labeling for Journals file, as instructed by Mrs. Christina. Then, Mrs. Liza asked me to take documents from the printer. Not only that, I also had been asked to shred some unwanted old documents. By the way, during the lunch hour I went to Jalan Tuanku Abdul Rahman. Not by using the LRT, but by walking. Hehe. Actually, I had to go there because I don’t know why my brooch was missing, and it is getting lesser days by days. Hihi. So, I went to CK Rahim to buy brooch. For my lunch, I bought Cheesy Zinger Crust Burger at KFC. But, since when I came back to the office it was already 1.30 pm, so I had to put the burger aside and wait until 5.30 pm to eat it. T_T After the lunch hour time, I don’t have any work until Mrs. Liza suddenly asked me to scan documents on staff claim.


Tuesday (21 December 2010)
First of all, I had been asked by Mrs. Christina to help her. All I had to do was I had to put one supporting document (Salary Paid) for Journal April 2010 file. It was just a simple task. Besides that, I had to find documents about Accrued Intercompany Inc (June 2009), but the documents was not in the file. So, I informed Mrs. Christina that the documents was not there. The lunch hour time was at 12.30 pm and I don’t know why suddenly, I was craving for a waffle, so I went to Medan Mara to look for it. But, the shop was closed. T_T Then, I went to Sogo and bought something from the Hot n’ Roll for my lunch. I came back to the office and had my meal there. As usual, Mrs. Liza asked me to keep some documents on staff claims in file. I feel a bit boring because I am so free on Tuesday (too little work).

Wednesday (22 December 2010)
I started became boring staring at the PC, because I am so free. I don’t have any work to do. But, suddenly I had been asked by Mrs. Devi to do filing for Invoices. Since Mrs. Devi was nearly 9 months pregnant, she needed my help so that her work can be settled before her maternity due. After the lunch hour, I had been asked by Mrs. Devi to photocopy documents and update the Good Receiving Oct'10 to July'11 file. Sometimes I wondered why my task was too simple and not challenging. :(

Thursday (23 December 2010)
On Thurday, I had been asked by Miss Azura to send copy of those invoices that been requested by Mecomb (M) and also Hastings Deerings Australia to the person in-charge for both companies. It was regarding the outstanding payment. Sime Darby Global services wanted to make it clear for its account. They need to remind their customers about their debts. So, I searched the invoices been requested, in the documents file. Then, I scanned the documents and sent it to my Sime Darby email, before compiled it all together according the company’s name and sent to the respective person. At 10 am, Puan Saburiah came to the office and met Miss Justine. Maybe 23rd December was not my lucky day. Suddenly, the other staffs from my division were having a meeting right before Puan Saburiah came. And, I felt so unhappy when I heard what Justine spoke to her. Because Justine never ever gave me any work, so how come she evaluate me that way. Maybe I was not lucky as Rasida. Her supervisor was really nice. Even though Rasida did not give MC letter to her, but she still got FULL allowance paid. Compared to her division and my division, we were much better in terms of punctuality and also attendance. I wonder how much will Rasida get paid for her December allowance. Please don’t tell me that she will get 24 days FULL attendance allowance paid again (because she told me that there were four days which she did not have MC). Sometimes, I wondered why she had to go back to her hometown (Rompin), every time she needed an MC. Hmm. Enough said. Still remember that I was craving for a waffle on Monday? So, for the Thursday lunch, I went to Maju Junction and bought a waffle there. Yeah. I was so happy when eating the waffle at the office. Satisfied with the taste and I felt glad because at last I found the waffle. At 3.30 pm, I and the other staffs from Service Management were having a farewell party. Actually, our big boss of Service Management (Mr. T.K. Wong) wants to retired soon, so the party was held for him. Oh, there was one funny incident. Before I and the other staffs went to Wisma Sime Darby, we accidentally met Mr T.K. Wong near the main door. He asked us where we are going. Then, we told him that we are going to his farewell party at Wisma Sime Darby. But, suddenly his face turned blur. He said that he didn’t know about the party at all since nobody told him. Haha. Someone forgot to invite him. By the way, luckily I brought together my sister DSLR camera to the party. So, before the party ends, we took a lot of pictures together. Hehe. Miss V-Ting said to me, “Nasib baik you bawa camera. Thanks”. The party ends at 5.00 pm, so I went back to Menara UniAsia right after the party.



Friday (24 December 2010)
There were a lot of people were taking leave today including my Supervisor. One of the reasons maybe they want to celebrate Christmas with their family members. Or, because they want to finish all their 2010 leave which they can’t bring forward. When I checked my Sime Darby email, I found out that Miss Azura had sent me an email. She assigned me to scan all the invoices that been requested by Wisma Sime Darby, Sime Darby Offshore Engineering and also Chubb Malaysia. Then, I had to send those invoices to the respective person in-charge of all the invoices for each of the company. From the task, I learnt how to deal with people from the other company. By the way, I was freezing in the office and went to the toilet many times. Haha. Maybe the air-conditioner temperature was too cold. Before I went back home and ends my intership at Sime Darby Global Services Centre, I took pictures with the other staffs from my division. Hehe. I stepped out from the office at 5.45 pm and walked to Wisma Sime Darby since I had to return my entry pass back to the Human Resource Department. Before that, I waited for Emira at the Ground Floor of Wisma Sime Darby because I asked her to take some photos there. Then, we took lift and went to level 9. Alhamdulillah, Miss Hirda (the HR officer) still in the office. So, I passed back the entry pass to her. So, goodbye GSC.

Week 7


Hi there bloggers! Next week will be my last week of internship. I can hardly wait for the moment since what I need for now is a vacation. Eh, at least a holiday.


Monday (13 December 2010)
On Monday, I had been asked by Mrs. Liza to do some filing on staff traveling expenses. Filing, filing, and filing again? Sometimes I wonder, maybe if my industrial training held for at least 3 months, I would get a challenging task. Enough said. Besides that, I had been assigned by Mrs. Devi to update the information on Goods Receiving list for Oct'10-July'11 by referring to the Purchase Order bill. It is very important to have such list so that in future if anything, we can refer to the list. And last but not least, I photocopied some documents as instructed by Mrs. Christina and Mrs. Liza.

Tuesday
(14 December 2010)
What a nice day on Tuesday. At first, I had to photocopy documents. Then, Mrs. Christina asked me to check the journals that she received from the DMR (Digital Mail room). I had to ensure that we (Global Services Centre) received back all listed journals. After that, I asked Miss V-Ting if she needed my help. Then she asked me to help her compiled all management plan for IT department for budget (capital expenditures, training expenses, etc). This is what I called, happiness. I love doing things that a bit challenging. Do you know why is it important to have such management plan? It will be reference for the company (Global Service Centre), to predict and forecast for the next year budget. How many they need workers, and the costs that will be involved. There was much information that I have to copy and compiled together but Alhamdulillah I managed to complete it. Then, as usual I had to do some filing for documents. After lunch hour, I went to Wisma Sime Darby to sent documents to someone from the Tax Department.

(15 December 2010)
Early in the morning, I had been asked by Mrs. Liza to shred unwanted papers. Then, I had to edit the Management Plan for Finance Department and also IT Department as instructed by Miss V-Ting. She wanted me to make it more precise, in terms of the list of items. It would be easier for the upper management to read all the account information whenever needed in future. After finished, then, I copied the files and gave it to Miss V-Ting using her pendrive.

Filing again? Hehe. As usual, I had to do some filing for staff claim documents. Ever wonder why I always did filing? It is because Mrs. Liza was the person in-charge regarding employees travel claims, medical expenses, etc. And when the DMR sent the documents regarding the matter I mentioned before to her, she had to keep it in file for future reference. And, since I was an intern there so she will ask for my help to keep those documents. Hehe. Other than that, I had to scan documents for Mrs. Christina and stamped "received" at the documents. Lastly, I made some corrections on the Management Plan for IT & SM files. I forgot to paste some numbers in the Management Plan for IT. After make sure that the information was correct, then I sent the files back to Miss V-Ting. Alhamdulillah. From the mistakes I made. I learnt that we should not do any mistakes especially in terms of budget. If the number is over the real-budget is okay, but if it is under-budget, then there will be problems. Besides that, who knows if the upper level manager (the boss), did not checked whether the information that we provided is accurate or not. Lesson learnt.

Walking, is one of my hobby. I will feel happy whenever anyone asked me to go to Wisma Sime Darby. And early in the morning, I had been asked by Mrs. Christina to send documents to Mrs. Chua Say Yik from the Tax Department, Wisma Sime Darby (Level 13). After I met Mrs. Chua, I went back to Menara UniAsia. After I came back, Mrs. Liza asked me to do filing for some documents regarding the travel expenses claim, staff claims and also other account payables.

Week 6

Monday (6 December 2010)
Since Tuesday was a public holiday, so there were many staffs of Sime Darby who took leave on Monday, and Rasida too??. Early in the morning, suddenly one staff from Rasida’s division came to me and asked me where was Rasida? Then, I told her that I don’t know where she is. So, I sent an SMS to Rasida and asked her. And she replied that she was on leave, because she fell sick. Actually, I tried to think positively about her. Last week I can still remember that she told me that most of the staff at her division will be taking leave on Monday (6 December). And, someone told her that if there is MC, then the leave won’t be count. Why suddenly she became sick. What a coincidence? Enough said. By the way, there was only Miss V-Ting who came on Monday in my division and she did asked me why I didn’t take a leave too. Hehe. Miss V-Ting, for an intern, there is no such thing as paid leave. T_T Since nobody was at my division except her, so I asked V-Ting if I can help her anything. So, she assigned me to compile all data for the management plan 2011/2012 in the excel workbook. Then, I had to insert all data that been given by the representatives of Service Management cost centre. I also had to total up all the cost that will be involved from all the data in the capital expenditure analysis template. After completing the task, I had to identify assets that being used by the members of division I currently in, and then list all of their assets.

I had to do filing for some documents on staff traveling claims as asked by Mrs. Liza. Then, I had been asked by Mrs. Christina to take documents from Mrs. Azrina (Tax Department - Level 13) at Wisma Sime Darby. Walking again? Yeah, I considered that as an exercise.

Early in the morning, Miss V-Ting asked for my help again. She wanted me to list the asset history for staff from Service Management department, Shared Services department and GSC Corp Leads. All I had to do was to check from the personnel list, and also from the SAP Asset History list. If the person's name was not there, then I had to check their name in Sime Darby Group's Address Book. It is very important to have such asset history since, the asset especially PC and laptop will be replaced every 4 years. After lunch hour, I had been asked by Mrs. Liza to do some filing for documents on staff traveling claim.

Week 5

Hi bloggers. It’s me again. And below is my report for the week.

Monday (29 November 2010)
On Monday, I had been assigned by Mrs. Devi to checked whether all invoices were in the ring file. I had to refer from the list and ensure that everything was there. Then, I had to print invoices that were not available in the file from the SAP system. It is very important to have those invoices as a proof if the customers asked for it, for instance if they claimed that they did not received the invoice. Besides that, I had to photocopy some document on travel warrant as instructed by Mrs. Liza.

Early in the morning, I kept some documents on staff traveling claim in ring file since Mrs. Liza asked me to help her. Filing became one of my daily routine here. What an easy task. Hehe. Besides that, I had to photocopy some documents. Then, I have been asked by Mrs. Christina to sent documents to two different persons at Wisma Sime Darby. One of the documents must be sent to someone from the HR Department (Level 16) and one more document to a person from Tax Department (Level 13). After I came back from Wisma Sime Darby, I had to key-in information for Document Send to "Recall" as instructed by Mrs. Liza. While I was key-in the documents, Miss Rafidah asked me to scanned invoices for Sime Darby Foods & Beverages. So, I had to search for those invoices from the ring file (in the cupboard). After scanned those documents, then I sent it to Miss Rafidah email. Last but not least, Mrs. Christina asked me to create one file for my attendance during the November before I went back home. I still remember what she told me, “You do this first and send it to me before you go back. If not, you might get your allowance late”. So, without further delay, I did what she asked me to do. Hehe.

Hello December! Time flies away quickly. Alhamdulillah for November, my attendance was FULL. Hehe. And I continued insert data for Document Send to "Recall" which was yesterday’s one. Since there was a lot of data needed to be inserted, so it makes me took quite a long time. Besides that, Mrs. Liza also asked me to scanned documents for employees’ claims. Other than that, I had to do filing for some documents on staff traveling claims, medical expenses. Last but not least, Christina did ask me to update information on whether Sime Darby Holdings Berhad has received invoices from the SD Global Services Centre or not. This is very important, especially to update the customer account. I learnt a lot from Mrs. Christina especially on how to use Microsoft Excel efficiently.


Thursday (2 December 2010)
First of all, early in the morning I had to sort bills from vendor (Telekom Malaysia-TM) accordingly. It is important, because if there is any delay in payment, then the line might be terminated by the TM. Then, I had to check whether the invoices were there from the billing summary list (work as supporting documents). I had to photocopy the billing summary and marked which invoices that not been included.


Friday (3 December 2010)
The end of the week (working days) comes again. What a hectic and busy day. On Friday, I had to scan loads of documents: invoices,vendor data,etc. And as usual, I had to do filing for staff traveling expenses and list of summary on “Document Sent to Recall”. I went to Wisma Sime Darby and met someone from the HR-Payroll to sent documents on Citibank Payment. After lunch hour, I have been assigned by Mrs. Devi to check on Account Receivable (AR) documents. I had to make sure that the documents were there based on the list and sort it accordingly.

Week 4

Monday (22 November 2010)
I had to make sure the customer account have the same balance by browsed through information from SAP and compared it with the information in Microsoft Excel's file. Besides that, I also photocopied some documents. Then, I had to keep those documents in specific file. I think I started to love using the SAP system. It allowed me to browse all the account statement of the Global Services Centre customers and also their vendors.

It’s Tuesday again! Early in the morning, I rechecked yesterday's documents and did some correction. At first I had planned to send cheque to Wisma Sime Darby Lockton Insurance as instructed by Mrs. Liza, but since it was raining heavily, I couldn't make it. The cheque is for the building insurance payment (October 2010). The company had already paid it late. After lunch hour, Mrs. Devi asked me to print some documents and make sure each of it has its supporting document. Hehe. As usual, I also did some filing for staff traveling claims.

At first I had been assigned by Mrs. Christina to check whether customers of Global Service Centre already pay their debts or not. After checking was completed, then, I sent cheques to Sime Darby Lockton Insurance. The office is located at Wisma Sime Darby (Level 18). And I sent the cheques to the officer in-charge. After having my lunch, then, I have been asked by Mrs. Liza to sort documents accordingly and do filing. Lastly, I had to scan documents as instructed by Mrs. Christina.

I started my work by updating the IT Invoices Status. Since there were some changes that need to be made. Actually, I should had finished it long time ago (just a metaphor), but Mrs. Christina wrongly gave instruction to me. What a waste of time. Did something that I had did before correctly, and because of other people, I had to do it all over again. Ish ish ish. After finished updating, I did filing for staff medical expenses and staff traveling claim.

At first early in the morning, nobody assigned me to any work. But suddenly 2 hours before lunch hour, I had been instructed by Mrs. Liza to do filing for some documents on staff traveling claim and industrial training letter. Then, I also had to photocopy documents. After lunch, I had been asked by Mrs. Devi to print some invoices and delivery order from vendors and sort it accordingly. What I need to do was to print the invoices from the SAP system. For invoices that were not in SAP system, I had to search for it in "ring file", then, photocopied it manually.

Week 3

Monday (15 November 2010)
I had been assigned by Mrs. Liza to do some filing for documents. Besides that, I also had been instructed by Mrs. Christina to update information on Microsoft Excel using the SAP logon to know whether payment has been paid by the customers by referring at SAP Easy Access. All I had to do was analyzed the information and put it into table based on its category.

I continued updating the IT Invoice Status. Other than that, I also photocopied some documents. Sometimes I feels like my task is more to administrative worker.

I kept on updating the IT Invoice Status and also relate it to "Intra Group Current Plug". What I had to do is to ensure all the companies have the same balance. Next, I also did filing on staff claims document as instructed by Mrs. Liza. Weirdly, Rasida did not come to the office. When I SMS her, she said that she was having a diarrhea. And she got two days MC. Eh, how come the clinic knows that the next day (Friday-19 November) she will stay sick. Who knows that she will recover? ;)

For the end of the weekdays, I continued checking the balance of all the companies. I had to make sure that they have the same balance with the information in the SAP system. After finished, I sent it via email to Mrs. Christina. Besides that, I also photocopied some documents as instructed by Mrs. Christina.

Week 2


Monday (8 November 2010)
Firstly, I had been assigned by Mrs. Devi to do the filing for invoice. Next, Mrs. Christina asked me to photocopied LHDN form for one of the staff and sent it to someone from the tax department (Wisma Sime Darby-Level 13). After I came back from Wisma Sime Darby, Mrs. Devi asked me to help her. On the afternoon right after lunch, I went to Wisma Sime Darby again to take "projector 3" which had been booked by my supervisor earlier because they were having a meeting on the evening. Since all of them (division I am supposed to be now) were having meeting so I did not have any tasks to do. Then, I asked someone from the other division (Mrs. Zawiyah) if I can help her. So, she did ask for my help to do filing.

Tuesday (9 November 2010)

Early in the morning, I finished up all the yesterday's work which was doing the filing. Then, I started to arranged from all the vendors name according to their type, as asked by Miss V-ting. It took me a long time to search for what exactly the businesses currently do. After that, I also did documentation filing. My supervisor asked Mrs. Christina to make sure that my PC had the LiveLink viewer so that I can view certain document using it. Since my PC did not have the software, so I had to wait for IT Staff to install it. And then, the staff from IT department, tried to configure the LiveLink viewer for me (he was currently at his own office but using the VnC to control my PC) but failed. Then, he told me that he will come to my office the next day.

Wednesday (10 November 2010)
I had been asked by Mrs. Devi to photocopied loads of documents (invoices) that need to be sent to the respective customers of Global Services Centre. It took a long time because there were many sets of documents (more than 100 sets). Then, I fold the original invoice and put it into an envelope since the original invoice will be sent to the customers while the photocopied document is for Global Services Centre reference. Sadly, my LiveLink viewer still not ready, so I cannot use SAP logon applications to view documents since the IT staff did not come to my office (UniAsia building) even though he promised to came the other day. So, I sent him an email and he replied that he would come the next day.

Thursday (11 November 2010)
Mrs. Devi asked me to photocopied another documents and do exactly the same thing like in previous day which is fold and put the documents into an envelope. Then, I had to arrange the photocopied documents accordingly. The IT staff did come to my office, but after many trials, he still cannot install the LiveLink viewer to my PC. So, he took the HardDisk from my PC to his office and came back in the evening. Alhamdulillah, at last I can use the SAP logon and view the documents. After the IT staff went back to his office, Mrs. Liza asked me to search for Global Services Centre customers using the SAP logon and figured out who is the person in-charge to verify and approved the documents. Then, I insert all the information into Microsoft Excel.

Friday (12 November 2010)
On Friday, I continued doing the task that been given to me on Thursday by Mrs. Liza. I search for the company's name using SAP logon and see who the person in-charge to verify is and approved the documents. Besides that, I also did the filing for staff's travelling claim. Next, Mrs. Christina did ask me to help her to check the status of payment by the customers of Global Services Centre using SAP logon. Then, I put the information into Microsoft Excel.
